Passionate, driven people dedicated to making a difference in healthcare.
SpecialtyCare is the world’s leading provider of clinical services to hospitals. We partner with hospitals to drive, sustain, and accelerate high performance. We offer a portfolio of solutions that include neuromonitoring, perfusion, surgical assist, autotransfusion, minimally invasive surgical support, and sterile processing. SpecialtyCare’s clinicians focus their efforts to improve operational efficiencies, improve outcomes, and maintain exceptional levels of satisfaction. We compete on results.
The Role:
The Workforce Coordinator owns the critical stretch between offer acceptance and a clinician's first day on assignment. You'll manage onboarding, credentialing, and scheduling for newly placed clinical associates — making sure background checks clear, credentialing files are complete and compliant, HRIS records are accurate, and every clinician knows exactly where to be and when. This role sits at the center of our placement operations, and the people we serve are counting on you to get the details right.
WHY SPECIALTYCARE
The clinicians we place work in high-stakes surgical and critical care environments. Getting them credentialed, onboarded, and on assignment without a hitch is not an administrative task — it's an operational responsibility that has a direct impact on patient care. You'll work alongside a team that understands that, and you'll have the support, and structure to do the job well.
What you'll be responsible for:
Onboarding
- Serve as the primary point of contact for new clinical hires from offer through first day of assignment
- Initiate, track, and review background checks and drug screens, escalating any flagged or incomplete results for timely resolution
- Process new hires into the HRIS, ensuring all pre-employment documentation, personal data, and assignment details are entered accurately and on time
- Communicate proactively with recruiters and associates to resolve onboarding issues before they delay a start date
Credentialing
- Build and maintain confidential credentialing files for each newly placed clinician, evaluating for completeness and compliance
- Ensure all credentialing records meet Joint Commission requirements for Health Care Staffing Services certification
- Complete accurate and timely data entry into the credentialing database to keep all associate files current
- Fulfill credentialing file requests from client facilities as needed
Scheduling and Assignment Tracking
- Schedule clinicians for contract assignments, coordinating start dates, shift details, and any changes with both the associate and the client
- Track active assignments from start through completion, monitoring end dates, extensions, and re-deployment needs
- Maintain accurate scheduling records in the HRIS and scheduling system, ensuring data integrity across all active and completed assignments
- Respond promptly to scheduling inquiries from recruiters, clients, and associates
What we are looking for :
Education:
- High School Diploma required
- Associate's degree or higher preferred
Experience:
- 2 or more years of experience in credentialing, HR/onboarding coordination, healthcare staffing, or scheduling
- Equivalent combination of education and experience acceptable
Knowledge and Skills:
- Strong working knowledge of credentialing processes and Joint Commission compliance requirements preferred
- Familiarity with background check and drug screening processes and compliance requirements
- Proficiency with HRIS platforms and scheduling or applicant tracking systems, or demonstrated ability to learn new systems quickly
- Exceptional attention to detail — you catch errors before they become problems
- Ability to manage multiple onboarding, credentialing, and scheduling workflows simultaneously under deadline pressure
- Strong written and verbal communication skills; comfortable interacting with clinicians, recruiters, and client contacts
- Ability to maintain strict confidentiality of sensitive associate information
- Self-directed and able to work independently with good judgment and minimal supervision
- Proficient with Microsoft Office suite and general office equipment
